How to create and use templates in Gmail



Many times it will have happened, perhaps for business reasons, to send an email that always follows the same template: each time we find ourselves copying the basic scheme from an email already sent previously, updating the data from time to time with the most recent. Or cases in which we have to contact several people, elaborating a personalized message for each of them, but leaving the basis of what is written intact. It would be handy to have a template to be used, so as to speed up operations; well, know that on Gmail it is possible to create and use templates for this purpose.

To speed up this process, the mail client Gmail offers a template creation service (or models, if you prefer), included in all accounts, which allows you to have a ready-made base for drafting an email, on which you only need to change the person’s data you are contacting or add any updates to the data already entered previously. Through this simple guide, we will see how to create and use templates in Gmail, modify an existing one or delete unused ones in a few steps, making future work faster.

Activate templates on Gmail

  1. The first step is to enable the templates on your Gmail account: to do this, click on the settings icon next to your profile picture and select View all settings;
  2. Click on “Advanced“, Enable the models and finally confirm by clicking on”Save Changes;

  3. Once the page is updated, write a new email to prepare your template. Once finished, click on the three dots at the bottom right and move between the various menus following the following scheme: Templates> Save draft as template> Save as new template;

  4. Enter the name of your model (which will then be automatically set as the subject of the email each time you use it) and click on “Save“To complete the procedure;
  5. Once saved, to directly insert the model in writing an email, simply click the three dots at the bottom right and follow the diagram Models> model_name (in our case “Template Test”).

Edit a template on Gmail

If you need to modify a previously created template, the process is simpler than you might imagine:

  1. Insert, as seen above, the model already created and which you intend to modify in the email;
  2. Modify the text already inserted in the creation phase, with what must be the new text of the model;
  3. Save the new model (as you did before), but instead of creating a new one, click on the name of the model you were already using. Gmail will ask you if you want to overwrite the current model, then confirm.

Delete a template that has already been created

Even if you need to delete a previously created template that you no longer use, the procedure is quite simple:

  1. Click on “You writeTo open the window for writing a new email;
  2. Here click on the three dots (as usual), and, following the diagram Templates> Delete Templateselect the name of the model you want to delete;
  3. Confirm in the warning window that appears, to permanently delete the model.
